We’re excited to work with you for your upcoming panels, workshops, and performances at this year’s Montréal Comiccon. If you have any questions regarding the details outlined below, please contact us at programmation@montrealcomiccon.com.
Below is an overview of the policies required of all accepted applicants to our for our panels, workshops, and performances. While panel/performance hosts will be signing off on behalf of their team, all of these policies must be adhered to by any and all members and support staff involved with your panel/workshop/performance. It is the host’s responsibility to ensure their entire team is informed of all policy and procedure information.

There will be a Programming Assistant in each programming room to help facilitate setup, time limits, and audience turnover. We kindly ask that panelists and performers follow the instructions of our Programming Assistants, Tech Crew, and any other Montréal Comiccon staff throughout their panel/performance. If there are any concerns regarding safety, accessibility, or other non-technical needs, our Programming Assistants are the first point of contact. Please feel free to approach them as needed. Our team is here to help make each panel and performance experience as smooth as possible.

SETUP & TIME LIMITS
Panels, workshops, and performances are 45 minutes long. Panelists will receive 15 minutes beforehand for setup. Performers will receive 30 minutes beforehand for setup.
Panel and Performance Hosts will not have access to the room prior to their setup time. If hosts show up late, they will not be allowed to extend the length of their time slot. Please be courteous to the people presenting afterwards who also need their set-up time. Kindly clean up any debris or belongings prior to the end of your time slot.
PROGRAMMING CONTENT REGULATIONS
Programming content guidelines differentiating between general, PG-13, and 18+ audiences are outlined below. Please ensure programming content adheres to these parameters, especially regarding general audiences, to ensure family and younger attendees have the best experiences.
AI Policy
Montréal Comiccon has a zero-tolerance policy for generative AI in all forms. Any programming applications utilizing, supporting, or encouraging AI-generated content or similar materials, are expressly prohibited. Any participating panel members will be banned indefinitely from all presenting or exhibiting in all future Montréal Comiccon and related events.
General Audiences (All Ages):
- Depictions or discussions of violence must be kept to a minimum.
- Language cannot include profanity (no swearing or coarse language).
- Drug use discussions are not permitted.
- No sexual content is permitted.
Parent Guidance Advised (13+):
- Depictions or discussions of moderate violence are permitted, but violence that is intense, realistic, and extreme or persistent should be avoided.
- Profanity should be kept to a minimum or used within a context that fits within the programme (ex: Comedy show)
- Drug and drug use discussions are not permitted.
- While sexual content is not permitted, some references can be used within a context that fits within the programme.
- No risqué or revealing materials are permitted.
Mature Audiences (18+):
- Depictions or discussions of moderate or intense violence are permitted, but violence that is both realistic and extreme or persistent should be avoided or kept to a minimum.
- Profanity can be used only within a context that fits within the programme.
- Drug and drug use discussions should be kept to a minimum or used within a context that fits within the programme.
- Sexual content should be kept to a minimum or used within a context that fits within the programme.
Prohibited Content
Submissions with the following content or discussions will not be considered:
- graphic, extreme or excessive violence
- gore
- hentai
- explicit eroticism/sexuality
- other pornographic material
- full frontal nudity
- generative AI
ROOM POLICIES & LAYOUT
There is absolutely no food or drink in the rooms, with the exception of water in a resealable bottle. This includes any food or drink-related prizes for attendees. Nothing may be affixed to any of the walls or furniture in the room.
Damages
It is the responsibility of the host to bring all necessary protective equipment to prevent damage to the room or any convention items within the room. All room damage, including but not limited to both furniture on stage and in the audience, walls, carpets, tech equipment, that are a result of panelists/performers and/or audience participation in planned activities are the responsibility of the host. Any fees incurred for the repair/replacement from the damage will be billed to the host at their expense.
Room Layout
Programming rooms are set up in a presentation style with a stage, table, chairs, and microphones at the front alongside a presentation screen. There will also be one audience microphone. The audience seating will have chairs but no tables. We are able to accommodate some changes to the stage set-up, such as removing chairs or the stage table, but beyond that, the set-up of the room must remain intact. This is to facilitate the transition between panels/performances.
Changes to the audience seating arrangements are not permitted unless arranged and pre-approved with the Montréal Comiccon programming team. We cannot guarantee that we can accommodate such requests.
TECH SETUP
We provide electrical power, an HDMI connection, and a projector or presentation screen/TV, in addition to the microphones, for panel presentations. We do not provide HDMI adaptors or any other specific connections. If the hosts do not have a computer with a conventional HDMI connection (such as a Mac), they are obliged to bring their own HDMI adaptors.
If the hosts have indicated additional tech or setup needs on their application form, please understand that we will do our best, but we may not be able to accommodate each request.
Ensure that the presentation is downloaded to whichever presentation device (PC, tablet, etc.) before arriving on site. There is no Wi-Fi available. We are not able to provide internet access for any presentations. Hosts are responsible for preparing all necessary files ahead of time or providing their own hot spot/internet connection.
We will have A/V Techs on site to assist with basic tech setup such as screen connections and mic checks. Only our Tech staff are authorized to operate our equipment and soundboards; do not adjust or interfere with any A/V equipment. If panelists/performers need assistance, please speak with the Montréal Comiccon A/V Tech in the room.
BADGES
Panelist and Performer badges are issued to the host and the team members listed in the application. There is a maximum of 3 additional panelists, excluding the panel host, for a total of 4 panelists per panel. Performances may be permitted additional team members. These members must be listed in the performance application. We cannot guarantee that larger teams can be accommodated. This total includes any of the your own support or tech staff. Accessibility assistants are an exception and are exempt from this policy but must still be listed in the application form.
Note: Due to the nature of some performance teams, if more than 4 performers are required, please indicate the roles of each performer in the application so we may understand the justification for waiving this policy. For any questions, please contact us at programmation@montrealcomiccon.com.
Panelist & Performer Names
Hosts can change the names but not the number of team members after they submit their programming application. We require the legal name of each team member receiving a badge. It must match their official photo ID.
Preferred Names
For the purpose of badge pickup and safety regulations, we are unable to accept preferred names unless they match the team member’s legal photo ID. This applies solely to panelist/performer badge pickup. For all internal correspondence and documentation, we will honour any preferred name requests (excluding stage/performance aliases). If applicable, hosts should provide the preferred names of themselves or any additional team members in the appropriate field in their application form. Rest assured that we do not publish any names in any of our materials unless they are written in the description provided in the application. Panelists and performers are welcome to utilize their professional brand aliases within their content, titles, and descriptions.
Exhibitors & Media
If any panelist or performer will receive an exhibitor or media badge, please advise us as soon as possible to avoid any complications.
Panelist & Performer Badge Access
The panelist and performer badges may only be used by the assigned person for the duration of the event. Use of any panelist/performer badge by anyone other than the assigned person will lead to revocation of the badge and removal of both the false badge holder and the original badge holder.
Panelist and performer badges grant Montréal Comiccon access equivalent to a 3-day general admission ticket. These badges do not include:
- VIP or Deluxe access
- Line priority to any events
- Autographs or Photo Ops
- Access to any special ticket events
Montréal Comiccon Ticket Refunds
There are no refunds if a panelist/performer has purchased a ticket prior to being accepted and receiving their panelist/performer badge. They may gift their purchased ticket, but not their panelist/performer badge, to someone else, but there will be no refunds under any circumstances.
APPLICATION FORMS
Since panels/workshops and performances often have distinct needs, there are separate application forms. Please be sure to apply under the correct form. We will not be able to accept applications that are submitted in the wrong category.
